Refund & Cancellation Policy

Vital Transit Solutions – Student Transportation Services
Effective for the 2025–2026 School Year

1. General Policy
At Vital Transit Solutions, we understand that plans may change. Our goal is to provide flexible service while maintaining fairness for all families and ensuring driver scheduling runs smoothly. This policy outlines when refunds, credits, and cancellation fees apply.

2. Cancellations
Standard Rides (Scheduled in Advance)

Cancellations made 24 hours or more before the scheduled pickup will receive a full refund or credit to the account.

Cancellations made less than 24 hours in advance are subject to a 50% cancellation fee.
Same-Day or Short-Notice Rides

Rides canceled within 2 hours of the scheduled pickup time will be charged in full and are not eligible for a refund.
3. No-Show Policy
If a child is not present at the pickup location and no prior cancellation was made:

The ride will be marked as a no-show.

100% of the ride cost will be charged.

Repeated no-shows may result in suspension from future transportation services.
4. Prepaid Plans (Weekly or Monthly)
We understand that unexpected situations—like illness or family emergencies—can come up. Our goal is to be fair and flexible while maintaining scheduling consistency for all families.

If your child is unable to attend for an entire week and you notify us before the week begins, we will provide a full credit to your account for future use.

If your child misses one or more days due to illness or a documented personal emergency, we may offer a partial credit upon request.

Refunds for missed days are handled on a case-by-case basis, and we encourage you to reach out as soon as possible.

While we do not offer automatic refunds for individual missed days, we’re happy to work with families when circumstances arise.
To request a credit or discuss a missed day, email us at info@vital-transit.com within 7 days of the missed ride.
5. Refunds Due to Service Issues
You may be eligible for a full or partial refund in cases where:

A scheduled ride was missed due to driver error

The service was not delivered as agreed and no resolution was provided
To request a refund or dispute a charge, please email info@vital-transit.com within 7 days of the scheduled ride.

6. Weather & Emergency Cancellations
If services are canceled by Vital Transit due to:

Severe weather
-
Natural disasters
-
Emergency school closures
You will receive a full credit or refund for the canceled service.
7. How to Request a Refund
To initiate a refund or account credit:

Email info@vital-transit.com with your name, child’s name, date of service, and reason for the request.

Requests must be submitted within 7 calendar days of the scheduled service.
